The Short Version

Your Eulogy is run by Ceri Wood, a sole trader based in the United Kingdom.

We collect as little personal information as reasonably possible.

If you contact us, we’ll receive the information you choose to send us.

If you buy something, the purchase is processed through our payment and digital delivery provider. We don’t receive or store your full payment card details.

If you join our email list, we’ll use your email address to send you the updates you’ve asked for, and you can unsubscribe whenever you like.

Most importantly:

We do not collect, receive, host, or store the answers you write in My Eulogy File.

You download the workbook. You write your answers in your own notebook, folder, binder, or digital document. You keep them yourself.

Please don’t send your completed My Eulogy File, or substantial extracts from it, to us.

The considerably longer version follows, because privacy law requires rather more detail than that.

For data protection purposes, Ceri Wood is the data controller responsible for personal information processed through Your Eulogy.

This Privacy Policy explains what personal information we may collect, why we use it, who may process it on our behalf, how long we keep it, and your rights.

We aim to handle personal information in accordance with applicable UK data protection law, including the UK GDPR and Data Protection Act 2018.

The Information We May Collect

Depending on how you use the website, we may process the following types of personal information.

If you contact us

If you use our contact form or email us, we may receive:

  • your name;
  • your email address;
  • the subject of your enquiry;
  • your message; and
  • any other information you choose to include.

Please only give us the information we actually need to deal with your enquiry.

In particular, please don’t send detailed information about your health, relationships, family circumstances, bereavement, or other sensitive matters unless it is genuinely necessary.

Usually, it won’t be.

If you buy My Eulogy File or another product

Our digital products are sold and delivered using Payhip.

When you make a purchase, information associated with your transaction may include:

  • your name;
  • your email address;
  • information about what you purchased;
  • the date and value of the transaction;
  • billing or location information required for payment or tax purposes; and
  • transaction and order information.

Payment information is processed by the relevant payment providers used through Payhip.

Your Eulogy does not receive or store your full payment card details.

Payhip and its payment providers process information under their own privacy arrangements as applicable.

If you join our email list

If we introduce an email list and you choose to subscribe, we may collect:

  • your email address;
  • your name, if requested;
  • your subscription preferences;
  • information about when and how you subscribed; and
  • information generated through the operation of the mailing list.

Our mailing list will be managed using Mailchimp.

Joining the list will be optional.

Buying My Eulogy File will not automatically sign you up to marketing emails.

Technical information

Like most websites, some technical information may be generated when you visit the site.

This can include information such as:

  • IP address;
  • browser and device information;
  • operating system;
  • pages or resources requested;
  • date and time of access;
  • security information; and
  • server logs.

Some of this information is necessary simply for a website to function securely and reliably.

Our website is hosted by SiteGround.

We do not currently intend to use Google Analytics or a similar third-party analytics service for the initial version of Your Eulogy.

What We Do Not Collect

This deserves its own section.

Your My Eulogy File answers stay with you

My Eulogy File is a downloadable workbook.

We provide the questions, prompts, and guidance.

You write your answers separately, using your own notebook, binder, folder, digital document, or other method.

We do not provide an online account for storing your completed File.

We do not ask you to upload your answers to Your Eulogy.

We do not host or store your completed My Eulogy File.

This is deliberate.

Your File could eventually contain some of the most personal information about your life, including relationships, memories, regrets, private messages, difficult experiences, and information about other people.

We don’t need it.

Your life stays with you.

Please don’t send your completed File to us by email or through the contact form.

If you need to ask a question about something you’ve written, explain only as much as we reasonably need to understand the question.

How We Use Your Information

We may use personal information to:

  • respond to enquiries and messages;
  • provide customer support;
  • process and administer purchases;
  • provide access to purchased digital products;
  • deal with problems relating to an order or download;
  • keep appropriate financial, tax, and business records;
  • send email updates where you have chosen to receive them;
  • operate, maintain, and secure the website;
  • prevent fraud, misuse, spam, or security problems;
  • understand and resolve technical problems;
  • deal with complaints, disputes, or legal matters; and
  • comply with our legal obligations.

We don’t sell your personal information.

And we don’t use information submitted through the contact form to build advertising profiles about you.

Our Lawful Bases

UK data protection law requires us to have a lawful basis for using personal information. The appropriate basis depends on why we’re using the information. The ICO requires organisations to identify their purposes and lawful bases before processing personal information and explain them in their privacy information.  

We expect to rely mainly on the following.

Contract

When you buy a product from us, we need to process certain information so that the purchase can be completed and the product provided to you.

We may also need to use information to deal with customer-service issues relating to that purchase

Consent

Where you actively choose to join our email marketing list, we may rely on your consent.

You can withdraw that consent at any time by using the unsubscribe option in an email or contacting us.

Legal obligation

Sometimes we need to process or retain information because the law requires us to.

For example, this may apply to certain financial, accounting, tax, or legal records.

Legitimate interests

In some circumstances, we may process limited personal information where it is reasonably necessary for the legitimate operation of Your Eulogy and where those interests are not overridden by your rights and interests.

This might include:

  • responding to genuine enquiries;
  • maintaining the security of the website;
  • preventing fraud, spam, or misuse;
  • maintaining appropriate business records; and
  • establishing, exercising, or defending legal claims.

Where we rely on legitimate interests, we consider whether the processing is necessary and proportionate and its potential effect on the people concerned.  

Contact Forms

Our website uses WPForms Lite for contact forms.

When you submit a contact form, the information you enter is sent to us so that we can respond.

WPForms Lite does not normally store form entries in WordPress without a paid licence. It does, however, offer an optional feature called Lite Connect, which can back up submissions remotely to WPForms’ servers.  

We do not intend to enable Lite Connect.

This means we aren’t deliberately creating an additional WPForms-hosted backup of your contact-form messages.

Please remember that the contents of the form will still be sent to us, normally by email, and may therefore remain in our email records for the relevant retention period.

Purchases and Payhip

We use Payhip to sell and deliver digital products.

When you make a purchase, Payhip and the payment providers involved in the transaction will process information needed to:

  • take payment;
  • process your order;
  • provide the digital product;
  • administer the transaction;
  • deal with applicable taxes;
  • prevent fraud; and
  • maintain required transaction records.

Your Eulogy may receive information about your order so that we can administer the sale and provide support.

We don’t receive your completed My Eulogy File as part of this process.

Purchasing the workbook and completing the workbook are entirely separate things.

Email Updates

We may offer an optional Your Eulogy email list using Mailchimp.

If we do, we’ll make it clear what you’re signing up to.

We might use the list for things such as:

  • updates to My Eulogy File;
  • new Your Eulogy resources;
  • occasional news about the project; and
  • relevant new products or resources.

We won’t add you to the marketing list simply because you contacted us.

And we won’t automatically add you because you bought something.

You can unsubscribe at any time using the unsubscribe link included in marketing emails.

Cookies

Our website may use cookies and similar technologies.

Some cookies may be necessary for the website to function properly, securely, or to remember choices.

Other cookies, if introduced, may require your consent.

We use CookieYes to help manage cookie information and consent.

You can find more detail about the cookies used on the website, their purposes, and your choices in our separate Cookie Policy.

Because websites, plugins, and third-party services change, the actual cookie information displayed through our cookie consent system should be treated as part of our current cookie information.

Who We May Share Information With

We don’t sell your personal information.

We may share or make information available to service providers where this is reasonably necessary to operate Your Eulogy.

WPForms

Contact-form software, although we intend to keep its optional remote Lite Connect submission backups disabled.

Payhip

Product sales, payment administration, and digital delivery.

For processing payments and related transaction functions.

If you choose to join our email list.

Cookie consent and related functionality.

We may also disclose information where reasonably necessary to:

  • professional advisers;
  • accountants or bookkeepers;
  • IT or security providers;
  • government, tax, regulatory, or law-enforcement authorities where legally required; or
  • another party where necessary to establish, exercise, or defend legal rights.

We only intend to share personal information where there is a legitimate reason to do so.

International Processing

Some of the third-party services we use may process or store personal information outside the United Kingdom.

This may include services such as Mailchimp, Payhip, payment providers, or other technology suppliers.

Where UK data protection law applies to an international transfer, appropriate arrangements or safeguards should be used as required.

These may include transfers to countries covered by applicable UK adequacy regulations or approved contractual safeguards.

The exact locations and mechanisms can change as service providers change their infrastructure and arrangements, so you should also consult the relevant provider’s current privacy information where you want more detail.

UK privacy notices should tell people about relevant international transfers and the safeguards used where applicable. 

How Long We Keep Information

We don’t want to keep personal information indefinitely just because storage is easy.

Our general approach is:

Contact enquiries

We will normally keep ordinary contact correspondence for up to 12 months after the enquiry has been resolved, unless there is a reason to retain it longer.

We may delete trivial enquiries sooner.

Customer and transaction records

We may keep information relating to purchases for up to six years after the end of the relevant accounting period or transaction relationship, where appropriate for tax, accounting, contractual, or legal record-keeping purposes.

Email marketing

We will keep your active mailing-list information while you remain subscribed.

If you unsubscribe, we may retain limited information necessary to record and respect that choice rather than accidentally adding you again.

Security and technical records

Server, security, and technical records may be retained for shorter periods determined by operational and security requirements and the systems used by our service providers.

Complaints or legal matters

Information connected with a complaint, dispute, or legal matter may be retained for as long as reasonably necessary to deal with the matter and any relevant legal obligations or limitation periods.

Retention periods should be established rather than keeping personal information indefinitely, and information should be deleted when it is no longer needed.  

Sensitive Information

Because Your Eulogy deals with people’s lives, relationships, death, and memories, there is a possibility that people may choose to send us information that is particularly personal or sensitive.

Please don’t unless it is genuinely necessary.

We don’t need to know the contents of your My Eulogy File.

If you’re contacting us because a prompt or part of the workbook has raised a question, you can usually ask that question without telling us the underlying story.

For example:

You don’t need to explain the full history of a difficult family relationship to ask:

“How should I mark something as private?”

Data minimisation is an important principle of UK data protection law: organisations should limit the personal information they collect to what they actually need.  

We’re applying the same principle to you.

If we don’t need to know it, please don’t tell us.

Information About Other People

Please be careful when sending us information about somebody else.

Your life overlaps with other people’s lives.

But that doesn’t necessarily mean we need their personal information.

If you contact us about something involving another person, provide only what is reasonably necessary.

Please don’t send us somebody else’s private correspondence, medical information, identifying information, or other sensitive material unless there is a genuine and lawful reason for doing so.

Children

Your Eulogy and My Eulogy File are intended for adults aged 18 and over.

We don’t knowingly design our services to collect personal information from children.

If you believe a child has submitted personal information to us inappropriately, please contact us at hello@youreulogy.co.uk.

Security

We take reasonable steps to protect the personal information we hold.

This includes using reputable service providers and taking proportionate technical and organisational measures appropriate to a small online business.

However, no website, email system, or internet transmission can be guaranteed to be completely secure.

This is another reason we deliberately don’t ask you to upload or store your completed My Eulogy File with us.

The ICO advises organisations to use security measures proportionate to the sensitivity and risks associated with the information they process.  

Your Data Protection Rights

Depending on the circumstances and the lawful basis being used, UK data protection law may give you rights relating to your personal information.

These can include the right to:

  • be informed about how your information is used;
  • ask for access to personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete personal information in certain circumstances;
  • ask us to restrict how information is used in certain circumstances;
  • object to certain uses of your information;
  • receive certain information in a portable format where the right applies; and
  • withdraw consent where we rely on consent.

Not every right applies in every circumstance.

For example, the applicable rights can depend on the lawful basis on which information is being processed.

Your Right to Object

You have the right to object to certain processing of your personal information where we rely on legitimate interests.

Whether we must stop processing will depend on the circumstances and the applicable law.

You also have the right to object to the use of your personal information for direct marketing.

If you’re receiving marketing emails from us, the easiest way to stop them will usually be to use the unsubscribe link in the email.

The right to object to direct marketing is absolute under UK data protection rules.

We may update this Privacy Policy as Your Eulogy develops.

For example, we may need to make changes if:

  • we introduce a new service;
  • we change a technology provider;
  • we introduce an email list;
  • the way we sell products changes; or
  • relevant law or regulatory guidance changes.

The current version will be published on this page with a Last updated date.

We recommend reviewing the policy occasionally if you continue to use the website.
